Law Firm Operations Manager

We are looking for an experienced Operations Manager to help us run the day-to-day operations of our busy, but family-friendly, law firm so that the legal staff can focus on helping more people have less contentious divorces

Location: New York, NY

In this position, you will have the following responsibilities:

Supervisory Responsibilities:

  • Onboard and train staff regarding firm procedures and information systems.
  • Supervise and counsel support staff
  • Assist with vetting and hiring new employees.
  • Assist with performance evaluations of employees that are timely and constructive.
  • Handle performance improvement plans of non-attorney employees as needed and in accordance with Firm policy.

Other Duties/Responsibilities:

  • Manage the day-to-day operations of the office; prioritize use of support staff and facilities.
  • Manage PTO: Approve time off, scheduling and coverage of work duties, ensures pay occurs timely.
  • Manage the daily operations of information systems.
  • Draft, implement, review, audit and revise operational and human resource policies and practices to ensure quality services.
  • Monitor weekly timekeeping of legal staff and provide conditionally formatted report to Owner.
  • Serve as point of contact to resolve Firm IT needs through IT vendor; monitor and direct IT vendor firm and lead annual review of services and any subsequent searches for new providers.
  • Serve as point of contact for all insurance vendors and lead ongoing annual reviews of policies, coverage and firm risk assessment.
  • Serve as point of contact for all vendors, landlord and building management.
  • Manage equipment, office services, and facilities.
  • Oversee the Firm’s records retention and information storage & retrieval (case management, contact management, personnel/payroll, document storage, etc.).
  • Work with Controller in connection with employee benefits such as health insurance enrollments and renewals, long and short-term disability, health savings accounts, 401(k) and profit-sharing options.
  • Maintain a professional and positive work environment by facilitating effective communication and information sharing among professional, paraprofessional, management, and support staff.
  • Participate in strategic planning process with management to identify and accomplish short- and long-term business plan goals for people, space, billing and technology.
  • Plan and host firm events as needed.
  • Perform other related duties as assigned.

Our Ideal Candidate Will Have

  • Demonstrated record of success in an office management or operations management position. Law firm experience a plus.
  • Superior written and verbal communication skills.
  • Excellent interpersonal and customer service skills.
  • Excellent ability to focus on details.
  • Excellent ability to organize and prioritize tasks, delegating when appropriate.
  • Extremely proficient in Microsoft Office Suite or other similar software programs.
  • Extremely proficient with practice management software programs such as Clio.
  • Ability to maintain confidential records.
  • Bachelor’s Degree in Business Administration, Human Resources, or related field.

Compensation

$100,000 – 115,000 / Annually + Bonus
